Privacy Policy

WardTable is operated by Claims Northwest LLC, a Washington limited liability company. This policy explains what information WardTable ("WardTable," "we," "us") collects when you use wardtable.com and app.wardtable.com (the "Service"), how we use it, and your choices. WardTable is an independent community tool. It is not operated by, affiliated with, or endorsed by The Church of Jesus Christ of Latter-day Saints.
Information we collect
- Coordinators and organizers: email address, the ward and stake names you enter, and the coordinator access you grant to others.
- Missionary meal hosts and family meal volunteers: name, email address, phone number (optional unless you choose text reminders), the meal date and preferred time, and your consent choices.
- People a host invites to a dinner: the name and email address of family members or friends the host chooses to add, and any personal note the host writes to a friend. We email them only about that dinner.
- Missionary details entered by coordinators: companionship names, missionary names and emails, headcount and dietary needs.
- Family support campaigns: a campaign title, household size, dietary needs and allergies, delivery window, and, if provided, a delivery address, family contact details and delivery instructions. Address, contact details and instructions are stored encrypted. We ask that no medical details or reasons for needing meals be entered.
- Technical information: basic request data (such as IP address, used briefly for rate limiting and security) and records of messages we send and whether they were delivered.
How we use information
- To schedule meals and prevent double-booking.
- To send sign-in codes, confirmations, reminders, calendar invitations and change or cancellation notices by email, and by text message if you opted in.
- To send a one-time invitation, and any updates about that dinner, to people a host chooses to invite.
- To let coordinators, missionaries and families arrange meals.
- To keep the Service secure and working.
We do not use your information for advertising, and we do not sell it.
Who can see your information
- Public ward calendars show open dates, companionship and missionary names, headcount and dietary needs. They never show hosts' or volunteers' contact details.
- Coordinators (and backup coordinators) of the ward see the contact details of people who sign up for meals in that ward. Family meals coordinators see family support campaigns only, not missionary dinners or hosts.
- Missionaries receive the host's name and contact details for their meal, by email, in a calendar invitation, and on a private page for their companionship. They also see the first names of anyone the host invited.
- Invited guests and friends see the date, time and host's first name. They don't see the host's contact details, other guests or the missionaries' emails.
- Families see only the first names of volunteers bringing their meals. Volunteers see a family's address, contact details or instructions only after signing up, and only for the details the family approved.
- Service providers that run the Service for us: Cloudflare (hosting, database and email delivery) and Twilio (text messages, only if you opt in). They process data only to provide their services.
- We may disclose information if required by law or to protect someone's safety.
Text messages
Text messages are optional and sent only to people who tick the text checkbox. Mobile numbers and text-message opt-in consent are never sold, rented or shared with third parties or affiliates for marketing or promotional purposes. Reply STOP to any WardTable text to stop all texts; reply HELP for help. Details are in the Text Message Terms.
Private links
Booking, invitation, guest, family and missionary pages use private links. Calendar invitations we send include the meal's date and time; for family meals they never include the family's name or address. Anyone who has a link can use it, so please don't post them publicly. Coordinators can revoke invitation links at any time.
How long we keep information
- Host and volunteer contact details are removed 90 days after the meal date.
- Family campaign addresses, contact details and instructions are deleted 90 days after the campaign ends, and its links stop working.
- Guests and friends a host added are deleted 90 days after the dinner, or immediately if the host deletes their details.
- Message delivery records are deleted after 90 days. We keep daily counts of messages sent (no names or addresses) to monitor the service. Sign-in codes expire after 10 minutes and sessions after 30 days.
- You can cancel a meal and delete your contact details sooner using your private link.
- We keep counts of meals (with no personal details) to understand how the Service is used.
Security
Data is sent over encrypted connections. Sensitive family details and provider credentials are encrypted in our database, and private links are stored only as one-way hashes. No system is perfectly secure, so please share only what's needed for a meal.
Your choices
- Change or cancel a meal, or delete your contact details, from your private link.
- Stop texts by replying STOP. Email remains available for meal notices.
- Families can update their details, withdraw approval or pause meals from their private page.
- To access, correct or delete other information, email hello@wardtable.com.
Children
The Service is not intended for children under 13, and we do not knowingly collect their information. Coordinators should not enter children's names in family campaigns.
Changes
We'll update this page when our practices change and revise the effective date above.
